Volunteers in our club often pay for things themselves. Have them photograph the receipts, read date, shop and amount and let them confirm and sign it. Then check it against our rules (receipt no older than three months, from €250 made out to the club, from €100 approved beforehand, nothing private) and submit the claim to the treasurer.
